  • Document your current attendance, leave and payroll processes as they actually run today — not as they're supposed to run
  • Identify which of those processes are broken versus which just need to be digitized
  • Clean your existing employee master data before migration, not after

What to evaluate in an HRMS

Core fit

Does it handle attendance, leave, payroll and statutory compliance (PF, ESI, PT, TDS) specifically for Indian regulations — not just generic HR features?

Integration

Can it integrate with your biometric or attendance hardware, accounting software and bank for salary disbursement?

Scalability

Will the pricing and feature set still make sense at double your current headcount?

Support

Is implementation support included, or will your team be configuring statutory rules alone?

A realistic rollout sequence

  1. Weeks 1–2: Data cleanup and master data preparation
  2. Weeks 3–4: Core configuration — attendance, leave policies, approval hierarchies
  3. Weeks 5–6: Parallel run alongside your existing process before fully switching over
  4. Week 7 onward: Full go-live, with a defined support window for issues

The most common mistake

Skipping the parallel run. Running payroll on both the old and new system for one full cycle before switching is the single best way to catch configuration errors before they reach employees' salaries.

An HRMS doesn't fix a broken process — it makes a working process faster. Fix the process first.
